Day Dockets Overview


This guide will focus on how to utilize day dockets in the field, get them signed off, and seamlessly convert them into invoices.

User Roles and Permissions

Customizing Visibility:

    • Navigate to User Roles under your profile settings to configure which staff members can access and view day docket details, including costings and pricing.
    • Adjust permissions based on your business requirements to control who can edit, view, or manage day dockets.

Creating Day Dockets

Accessing Day Dockets:

    • Open a job within Trak to access the Day Dockets tab.
    • Staff members with appropriate permissions can create new day dockets directly from the job interface.

Customizing Day Dockets:

    • Click on "Create" to initiate a new day docket.
    • Day dockets can be templated for efficiency, pre-filling common details and structures.

Adding Details:

    • Populate the day docket with relevant information:
      • Equipment: Select equipment used from the dropdown, adjust quantities or hours as needed.
      • Materials: Choose materials used from your product list, adjust quantities, and add descriptions.
      • Labor: Add labor entries, either pulling from timesheets or manually entering details such as start/end times, hours worked, and rates.
      • Orders and Expenses: Incorporate existing purchase orders or expenses related to the job.

        Attachments:

    • Include any necessary files or documents related to the day docket, such as work descriptions, photos, or additional notes.

      Saving and Approval:

    • Save the completed day docket within the system.
    • If configured, staff can click "Approve" to get the day docket signed off by a site supervisor or email it directly to the customer for approval.

Invoicing from Day Dockets

Generating Invoices:

    • From the Day Dockets tab, select one or multiple day dockets you wish to invoice.
    • Click "Create Invoice" to initiate the invoicing process.

      Invoice Options:

    • Choose how you want to present the invoice:
      • Summary: Present a consolidated view of costs.
      • Detailed: Break down costs by labor, materials, expenses, etc.
      • Customizable: Tailor the invoice format based on client preferences or internal standards.

        Finalizing Invoices:

    • Review invoice details including terms, conditions, attached documents (like purchase orders), and day docket information.
    • Proceed to finalize and send the invoice to the client directly from Trak.

Managing Day Dockets

  1. Viewing and Tracking:
    • Utilize the Day Dockets tab or the Finance section to track all created day dockets across jobs.
    • Manage multiple day dockets efficiently, whether within individual jobs or across your entire business.
